Aston Carter is seeking an Administrative Assistant for a client in Dallastown, Pennsylvania. This position will assist a contracts department with filing, order entry, scheduling, and other duties.
Job Objective:
This position will provide administrative support to the department of contracts. There will be 1 Contracts Manager and 2 Subcontracts Managers to assist.
Responsibilities:
- Prepare the order entry in the MRO system.
- Subcontracts and Purchase Orders are created, maintained, and updated electronically and on paper.
- Assist with report and presentation preparation.
- Control the flow of information in a timely and accurate manner.
- Manage calendars, organize meetings, and reserve meeting rooms.
- Interacts with all levels of employees.
- Sorts, distributes, and keeps track of subcontractor mail and correspondence.
Schedule: Monday through Friday, 8:00 a.m. to 5:00 p.m. (can be flexible on shift, i.e. 7:30am – 4:30pm)
Requirements:
- Administrative experience in the manufacturing, government/military, or legal fields is preferred.
- Microsoft Office proficient (Excel – ability to create a simple spreadsheet)
- Experience with DoD contracts is a huge plus.
