You will do extremely complex administrative tasks for the head of the corporate division as the Executive Administrative Assistant to the Executive Vice President of Corporate Impact. You will function as a liaison, problem-solver, facilitator, and the initial point of contact for staff members at all levels and for external stakeholders, such as clients, suppliers, and business associates. The effective workflow, information exchange, and improved communication within the company are all directly related to the executive administrative assistant. In order to make the EVP as successful and influential as possible in their work, the Executive Assistant is essential in increasing efficiency and efficacy of all meetings, correspondence, and in-person encounters.

Responsibilities:

  • Recognize the business’s strategic goals and how the executive’s time and attention should be focused on achieving them.
  • Handle the executive(s)’ calendar to make sure that meetings and travel are properly scheduled, prioritized, and enabled to be as productive and effective as possible.
  • Plan all internal and external meetings, events, and engagements accurately, and carry out the required logistics.
  • Develop read-ahead materials and daily and weekly briefings for the executive(s) prior to meetings and engagements.
  • Uphold a high standard of interaction and communication with the Senior Leadership Team (SLT) and each Executive Assistant.
  • Prepare meeting materials, ensure continuity in the executive’s absence, and oversee team operations in order to assist the executive(s) in managing and prioritizing the daily workload centered on developing challenges and important priorities.
  • Make travel and logistical arrangements, including reservations, for all of the Executive(s)’ engagements.
  • Compile and submit expense reports on time, in compliance with the company’s rules.
  • On behalf of the Executive, communicate with internal and external stakeholders as requested.
  • In accordance with instructions, oversee the Executives’ correspondence, including writing correspondence.

  • To aid in the creation of reports and presentations for the Executive(s) and their larger teams, conduct research initiatives.
  • Organize team celebrations, involve teams that are spread away, and provide announcements about recent accomplishments or adjustments.
  • As required, assist with and take part in team or organization-wide activities and events.
  • Offer suggestions within the confines of existing norms to improve operations and office procedures.
  • Work together to ensure effective task execution and shared accountability with a group of other executive assistants, facilities, IT, and event managers, among others.
  • Other responsibilities as needed, such as providing personal assistance with family, board, and service obligations}

Requirements:

  • Experience as an executive assistant or chief of staff for at least five years; ten or more years is desired
  • Experience working in a fast-paced business setting supporting a C-suite and/or senior level executive is necessary.
  • Ability to anticipate administrative needs and deliver seamless support to senior-level executives
  • Demonstrates exceptional judgment and the capacity to uphold a high standard of secrecy.
  • Excellent time-management and priority-setting abilities, as well as the ability to function in a deadline-driven atmosphere.
  • You have an operational approach and are a self-starter. the capacity to operate productively and independently with little supervision
  • Good ability to operate both individually and in a team setting; proven track record of collaborating with both internal and external parties to achieve shared achievement.
  • Attention to detail, intellectual curiosity, and strong business sense
  • Excellent project management and problem-solving abilities, as well as efficiency, results-focus, and a can-do attitude
  • Strong oral and written communication skills; possesses proactive and constructive communication methods.
  • The capacity to accurately proofread and edit written materials, including communication
  • Ability to professionally communicate with clients, senior-level internal and external executives, board members, and their aides
  • Flexibility in scheduling required for efficient support of Executives
  • With a progressive attitude and a love of learning
  • Furthermore necessary will be previous knowledge of Microsoft products, i.e. Word, Excel, PowerPoint, and OneNote
  • An advantage would be if you were familiar with Workday, our HRIS system, or Concur, our travel and expense management system.
