Responsibilities:
- Maintains/manages staff calendars, meeting plans, and conference calls; handles scheduling problems; provides for travel accommodations; and helps with meeting and event preparation.
- Inbound TEAMS calls/chats, emails, meeting requests, and other kinds of communication are screened and dealt with.
- Correctly and promptly responds to requests and inquiries while handling sensitive and difficult issues
- Creates and evaluates Reports on travel expenses, purchase orders for processing bills, setup and management of vendors, and timely payment assurance
- Helps open Talent requisitions and manages logistics for all areas of hiring new employees, such as IT requests, MyHr, and HEARTBEAT applications.
- Maintains and makes use of network drives that are shared and confidential in order to coordinate efficient office operations. Order and send supplies to employees via Ariba, and carry out any other necessary management tasks.
- Provides assistance with a variety of organizational outputs, such as organization charts and PowerPoint presentation editing, Ariba purchase orders for catering and supplies, and reports and database administration in Excel and OneNote.
- Supports office meetings in person as necessary.
- Ensures that all tasks are completed on schedule, effectively, and with proactive follow-up.
- Various tasks as given, continually exercising excellent judgment to suggest proactive process and procedure improvements
- Serves as a subject matter expert for managers and staff regarding systems and procedures.
- A VP and directors in the Medical Economics Unit are supported by the role.

- Has the authority to serve as a reviewer for expenses up to a specified monetary amount and may lead special projects.

- Drafts letters with the manager’s final approval in mind.
- Collaborates closely with the MEU administrative staff and takes part in a backup administrative support system.
Pay Scale
The usual pay scale for this position is as follows: 19.50 minimum; 40.10 maximum

Requirements:
Required credentials
- 3 or more years of experience in executive administrative support
- Experience with Microsoft Suite of three years or more.
Preferred
- 3+ years’ experience in office management (large meeting planning, travel, logistics, calendar management, MyHR)
- The capacity to manage initiatives, take the initiative, and handle various duties for a busy executive
- Strong capacity to solve problems autonomously
- Working with personnel in different time zones and being adaptable to changing conditions
- Ensure that your management and a coworker both grasp the specified tasks by communicating with them.
- Lead office administrative tasks for the MEU organization and serve as the role’s subject-matter authority for a variety of systems
- Manage all elements of department administration and the onboarding of new hires’ logistics
