Responsibilities:

  • As needed, assists with the preparation of management presentations and special initiatives.
  • Administers, evaluates, and monitors all local invoices via InvoiceWorks and distributes as needed.
  • Troubleshoots and escalates office technology issues such as telephones and copiers.
  • Tracks and verifies that all onboarding activities are completed, such as granting appropriate system access, assigning lockers, mailboxes, clothes, badges, fingerprinting, training, and so on.Assists with the organization, coordination, and execution of station activities (for example, Do Crew, luncheons, holiday meals, and recognition events).
  • Handles payroll processing for management and support workers in Workbrain.
  • Processes and coordinates bereavement letters local response and communication
  • As needed, manages employee parking, including permits and assignments.
  • Aids in timekeeping, data entry, data verification, reconciliation, and filing.
  • As needed, keeps employee files.
  • Maintains meeting plans for the station, including monthly emergency response.
  • Accesses and controls periodic reports such as performance, audit, expense, employee engagement and recognition, and so on.
  • Manuals must be updatedAll security-related items are filed and maintained.
  • Assists with numerous payroll functions.
  • Manages OSHA, safety, and other records (301s, weekly, and annual)Aids in the development and reconciliation of budgets, including the monthly closeout of landing fees.
  • As needed, assists with auditing activities.
  • Tracks and verifies earned incentive funds
  • As needed, coordinates with CRE/Facilities and vendors to track local initiatives.
  • As needed, leads/directs work with other support workers.
  • Other responsibilities as assigned

Requirements:

Education and prior job experience are required as minimum qualifications.

  • GED or high school diploma
  • Previous office/clerical experience is required.

Qualifications, Licenses, and Certifications

  • Knowledge with Microsoft Office applications such as Word, Excel, PowerPoint, and Outlook is required.
  • Policy, process, and corporate structure knowledge
  • Ability to prioritize tasks, pay attention to detail, and fulfill deadlines
  • Ability to work in a fast-paced atmosphere and handle numerous things at once
  • Self-motivation and great organizational abilities are required.
  • Understanding of the concepts and functionality of various applications and programs
