Position Description:

Are managing publication projects and scholarly publications something you’re enthusiastic about? This is a fantastic chance for you to become an Associate Publications Project Manager and join our team of publication experts. You will assist the publications team in managing a portfolio of book-related projects at varying stages of completion. You will assist with project timeline development, publication routing, tracking, and submission, maintaining compliance with publication industry and company standards, and ensuring timely and cost-effective achievement of project milestones. You will also help coordinate client and author interactions.

An Ordinary Day:

  • Establish and monitor project schedules with the assistance of the internal team and clients.
  • To maintain efficient communication of project schedules, support regular project status meetings with the internal core team, clients, extended teams, and external contractors.
  • Utilizing publication management technologies, collaborate with project managers to organize the publication review and approval process for client review teams and outside authors (e.g., Datavision)
  • Direct communication with authors will promote reviews and approvals.
  • Encourage submitting completed articles (manuscripts, abstracts) to journals and conferences
  • Ensure project needs and milestones are met by coordinating with internal team members.
  • Ask for and follow up on author documents (disclosure forms, agreements, etc.)
  • Analyze project difficulties and find solutions to satisfy client, quality, and productivity objectives.
  • To further the role’s deliverables, additional responsibilities could be assigned.

What You Need to Bring:

  • It is necessary to hold a bachelor’s degree in health sciences or a comparable discipline.
  • 1 year minimum of experience working for an agency, in the pharmaceutical business, or in a role related to scientific communications
  • Possessing effective problem-solving abilities, particularly the capacity to come up with alternate solutions and participate in collaborative problem-solving
  • a desire to ensure that customer materials are quality-controlled to the highest standards
  • the capacity to collaborate and speak properly in a dynamic, virtual world
  • Knowledge of the following computer programs and systems is preferred: Adobe, Zoom (or other comparable systems), cloud-based file servers, calendars, messaging systems, and work management tools (e.g., WorkFront), as well as Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Strong attention to customer service with the capacity to evaluate client requirements while keeping work scope a desire to explore for unconventional answers.
  • Availability to travel as required, both domestically and abroad, depending on the needs of the project, the sponsor, and the organization (5% travel expected)

What You May Possess:

  • having knowledge of assisting and supervising the publication process flow in a healthcare communications agency or pharmaceutical environment
  • Oncology and/or hematology expertise is preferred.
  • It would be ideal to become certified as a Medical Publication Professional (CMPP) (but not required)
  • knowledge of publication management systems (Datavision, PubStrat, PM Solutions, etc)
