Position Description:
This is a job that can be done from home. You must be available to come into the office for roughly 4 – 6 weeks of training as well as extra meetings and contract needs on an as-needed basis. You must live within a 90-mile radius of the work site.
Case Processing Assistance:
- Petitioning; establishing and marking case files
- Case studies are being researched.
- Creating and inputting related data into systems
- Ensuring file integrity within process units and file storage
- Document scanning and linking to electronic case files
- Organizing case files by document type
- Locating, reporting, and getting missing case documents
Mail Room Assistance:
- Receiving, sorting, opening, arranging, and date stamping incoming mail and cases as needed.
- Using letter insertion and postage machines
- Sorting and identifying mail, petitions, and files
- Routing sheets/file requests are delivered to the appropriate units.
- Obtaining and distributing files from other units and delivering them to the appropriate units
- Message logging and delivery; petition logging
- Weighing and labeling, as well as extracting and packing outgoing case files
Communication Assistance:
- Message logging and delivery; petition logging
- Entering phone questions and/or email responses into a tracking system; documenting each call/email
- Calls to supervisors are escalated as necessary per procedures.
- Answering caller inquiries quickly and efficiently
- Answering questions properly and correctly from a scheduled call response plan
- Using a computer to look up answers while quickly putting notes into a system
Intermediate Computer Knowledge:
- Excellent interpersonal and professional communication abilities
- Excellent attention to detail in a fast-paced workplace
- Capable of operating in a multi-tasking environment with constantly shifting priorities
- Excellent mastery of the English language; Spanish is an asset.
- Showcase a professional work ethic.
- Capability to pass a typing test with a speed of at least 40 WPM and no errors
- Individuals will be required to undergo a background security examination before beginning work.
Qualifications
- Preferably one (1) to two (2) years of relevant administrative experience.
- Capability to pass a typing test with a speed of at least 35-40 WPM and no errors
- Experience working in an office/clerical environment is preferred.
- Advanced computer skills, including the use of several monitors and active sessions
- Microsoft Office fundamentals, including Excel, Word, and Email
- Excellent interpersonal and professional communication abilities
- Excellent attention to detail in a fast-paced workplace
- Capable of operating in a multi-tasking environment with constantly shifting priorities
- Excellent mastery of the English language; Spanish is an asset.
- Showcase a professional work ethic.
