For the Chief Administrative Officer, an assistant is needed (CAO). The Assistant needs to be proactive and focused on the details. This post runs the office for a busy C-suite executive and lawyer. The applicant must feel at ease interacting with people in a range of jobs both inside and outside the agency. A commitment of at least two years is required.
Responsibilities:
- Manage a busy schedule and calendar.
- Along with monitoring follow-up files and deciding which tasks can be handled directly by the executive’s assistant, create daily “To-Do” lists.
- Write, redline, and modify employment agreements and highly secret papers.
- Recognize how the Office of the Chief Legal Officer (OCLO) and the Chief Administrative Officer (CAO) interact with one another in terms of workflow.
- Communicate with numerous outside legal counsels on contracts, subpoenas, and ongoing litigation issues.
- High volume of documents should be sent for electronic signatures as needed.
- Access and run reports on the hCue and other corporate databases, as well as the legal database NetDocs.
- Update and organize hard copy files, making sure all necessary documents are accessible.
- Create and maintain high-volume calendars that are organized and balanced on a daily, weekly, and monthly basis.
- Manage time requests from both internal and external parties while using sound judgment in prioritization and remaining adaptable to accommodate changes in schedules and shifting priorities.
- Anticipate demands, problem-solve for obstacles, and manage emergent concerns in a proactive manner
- To coordinate large gatherings, lunches, and team meetings inside the office
- Plan complicated and demanding travel, including all necessary logistics
- Be a cooperative, trustworthy, and cross-functional partner.
- Help with developing presentation resources and materials
- Submit accurate monthly cost reports and do other administrative duties.
- Create and manage a variety of team events
- In addition to your primary duties, take part in initiatives and projects.
- Carry out additional, diverse, administrative activities for work or for yourself as necessary.
Requirements:
- BA/BS preferable from a 4-year approved institution.
- Majoring in English or another subject that emphasizes writing extensively
- 5+ years of relevant experience as an administrative assistant
- Previous agency experience is preferred but not necessary.
- Microsoft Outlook, PowerPoint, Word, Excel, Adobe Acrobat Professional, and Internet proficiency
- Must be able to manage ambiguity well, have great organizational and communication abilities.
- The capacity to pay close attention to detail is a requirement.
- It must be possible to juggle several projects at once and meet deadlines.
- Strong project management and follow-up abilities
- Able to operate in a department that is both fast-paced and team-oriented
- Resourcefulness and sound judgment are required.
- The capacity to handle personal and sensitive material with tact and propriety
Location
The Los Angeles office will serve as the on-site base for this position.
Compensation: The base hourly salary for this position is in the range of $50.00-$55.00. Benefits and a bonus are also available for this employment.
