JOB DESCRIPTION:
We are looking for a competent Personal Assistant to help our Co-Founders in London and join our People Ops team. This individual will facilitate top-level management for a rapidly expanding organization. You must be a highly collaborative person with good communication skills and a strong can-do attitude. You will report to our Co-Founders directly.
As our new administrative assistant, you will manage business-related responsibilities such as scheduling meetings, booking travel and lodging, generating reports and presentations, and assisting with personal matters.
RESPONSIBILITIES:
- The management of a hectic, frequently-changing schedule on a daily basis.
- Planning meetings and producing paperwork, agendas, reports, etc. in an efficient manner.
- Make travel arrangements, including reserving flights, automobiles, hotels, and restaurants.
- Personal Assistance include personal calendar management, travel arrangements, and social arrangements for the family.
- Assisting with organizing household items and sorting furniture for the home/company apartment, etc.
- Establishing bank accounts for holding/trading firms
- Opening investment accounts/real estate matters
- Help organize tax matters
- Interact with and support internal and external parties on behalf of the firm / Directors
- Handle sensitive information with care and discretion.
REQUIREMENTS:
- Proven experience in the same or a comparable function, preferably in a startup/fast-paced, delivery-focused setting.
- Excellent oral and written communication abilities
- Excellent word processing and IT skills, including familiarity with a variety of software applications (we are a digital business working remotely, so this is a must-have)
- Capability to work autonomously and make minimally supervised decisions
- Outstanding organizational and time management abilities
- The capacity to conduct research, comprehend, evaluate, and deliver content clearly and concisely
- Excellent interpersonal skills
- Attention to detail
- When necessary, the flexibility and adaptability to juggle a variety of jobs and work extra hours to achieve deadlines.
- Discretion and knowledge of confidentiality concerns
