Position Description
Antioch University is looking for an experienced payroll specialist to process payroll for all university employees and submit electronic and manual payroll payment files to the University’s financial institution. The specialist must distribute payroll reports and related documentation to the HR representatives and prepare various payroll tax reports and documentation (pdf/spreadsheets), in addition to processing payments of various federal, state, and local taxes through various university and state websites within prescribed time limits. They will also maintain the HR/Payroll database, work with established university procedures and processes, and meet critical deadlines while supporting a welcoming, inclusive work environment.
Responsibilities
– Prepare, review, and audit reports for bi-weekly payroll before processing is completed and serve as the primary backup for monthly payroll processing.
– Run, prepare, and audit various payroll tax reports for federal, state, and local taxes, which are used to create documentation (pdf/spreadsheets), while following required deadlines.
– Transmit payroll ACH/Electronic files to the university’s financial institutions and mail payments in a timely manner.
– Prepare manual direct deposits, checks, stop payments, voids, and corrections, and communicate with HR representatives or employees if any payment issues occur.
– Participate in ongoing testing and updates of the Payroll system and the AU Employee Portal.
– Prepare annual payroll calendars for all locations.
– Assist with the preparation and issuance of W2’s and requests for duplicates.
– File, scan and archive documents, and assist with the research, audit, and report of current and prior fiscal year bank reconciliations of payments and unclaimed funds.
– Work with HR representatives, departments, and employees as needed and perform other duties as assigned.
Qualifications
– An Associate’s degree in business or accounting with 2-3 years of payroll experience, or five years of payroll processing experience.
– A proficient understanding of payroll processing and related laws and regulations, preferably in a higher-ed setting.
– Familiarity with an integrated Human Resource/Payroll software package.
– Proficient in MS Excel and Word, Zoom and other video platforms, and internet software applications.
– Understanding of bookkeeping practices, including payroll, accounts receivable/payable practices, and non-profit tax reporting.
– Ability to quickly and accurately enter data into computer databases, analyze data, and prepare reports for locations and system management.
– Ability to work in a fast-paced environment and meet critical deadlines while communicating effectively verbally and in writing.
– Payroll Professional Certification or an HR Certification is a plus.
