Position Description:

The ideal candidate will be very organized, have excellent communication skills, be able to swiftly change priorities and anticipate needs, be self-motivated, and be self-aware. Applicants should like working in a dynamic, fast-paced atmosphere, have a sense of urgency for important deliverables, and tackle problems thoughtfully and strategically. They should also be able to manage large-scale administrative operations.

Responsibilities

  • Managing a general manager’s complex calendar
  • Trip planning and expense tracking
  • development and/or upkeep of team SharePoint and OneNote
  • Purchasing and managing supplies, equipment, and assets
  • handling the team’s space management
  • managing headcount, posting job requests, and setting up/onboarding new hires
  • Service requests
  • Manage Security Groups and Distribution Lists
  • Verify that operational policies and procedures are followed.
  • Organize more projects as required.
  • Provide supplemental support to the other administrative staff members in Infrastructure Planning and Acquisition (IPA) and actively participate in the development of the organization’s Offsite and Morale events in the greater CO+I Business Support community.

Required Qualifications/Minimum Qualification:

  • 3+ years of administrative, business support, or customer service experience in a setting where planning meetings and events, organizing travel, and performing simple administrative tasks are prioritized.
  • equivalent work experience OR an associate’s or bachelor’s degree in a relevant subject (such as business administration, human resources [HR], marketing, communications, psychology, or sociology).
  • Experience managing and monitoring administrative budgets for at least one year (e.g., for events, morale, travel, training).
