Responsibilities:
- When necessary, offers support with the creation of management presentations and specific projects.
- Administers, examines, and keeps track of all local bills using InvoiceWorks, then distributes as required.
- Resolves and escalates issues with office technology, including phone and copier systems
- Maintains a record of each employee’s completion of their onboarding obligations, including those related to system access, mailbox and locker assignment, uniform and badge issuance, fingerprinting, training, etc.Participates in the planning, organization, and execution of station activities (such as Do Crew luncheons, holiday dinners, and recognition events).
- Processes payroll for management and support personnel in Workbrain
- Processing letters from bereavement and coordinating local interactions and reactions
- Oversees the administration of employee parking, including necessary permits and assignments.
- Helps with filing, data entry, data verification, timekeeping, and timekeeping tasks.
- Keeps employee files up to date as necessary
- Keeps station meeting schedules up to date, including monthly emergency response
- Accesses and maintains a variety of periodic reports, such as those related to employee engagement, expenses, performance, and recognition.
- Updates any necessary manualspreserves and files all security-related materials
- Backs up a variety of payroll operations
- Maintains 301s, weekly and annual records for OSHA, safety, etc.helps with budget creation and reconciliation, including closing out monthly landing fee payments.
- When necessary, supports auditing efforts
- Monitors and confirms incentive money received
- Tracks local projects by coordinating with CRE/Facilities and vendors as necessary.
- Leads/Directors collaborate with other support personnel as necessary.
- Performs additional tasks as needed
Requirements:
Minimum requirements include education and previous work experience.
- GED or high school diploma
- Office or clerical experience
Knowledge, Permits, and Certifications
- Having familiarity with Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- Understanding of company structure, policies, and procedures
- The capacity to set priorities, pay attention to details, and adhere to deadlines
- The capacity to multitask and function well in a fast-paced situation
- The capacity for self-motivation and superior organizational abilities
- Understanding of the principles and features of particular software and applications
