In a one-on-one working relationship, the executive assistant offers high level executive support. The Executive Assistant plans and manages scheduling, outreach, and special projects in addition to acting as the main point of contact for both internal and external contacts on all subjects. You have to be imaginative and like working in a fast-paced, dynamic, results-driven, and people-focused atmosphere. The perfect person will be able to make sound decisions in a range of circumstances and effectively manage several priorities. The Executive Assistant must be able to work independently on projects from start to finish and occasionally function under pressure in order to handle a wide range of tasks and private problems discreetly.
In order to succeed in this position, you must be a proactive problem solver who is adept at carrying out administrative tasks. You must also be a superb communicator who pays close attention to organization, detail, and procedure. The perfect applicant is determined, competent to handle shifting priorities, and aware of the daily priorities. In the end, you will help our company run more smoothly by giving the SVP timely, individualized support.
Responsibilities:
- Assist our SVP of Support & Customer Success with confidence by planning for the future, resolving issues, and managing private company data as needed to maximize productivity.
- Oversee and uphold a busy schedule that involves planning, coordinating, and providing assistance for a convoluted and occasionally demanding timetable.
- Make sure the SVP’s time is in line with their priorities by showcasing your comprehension of the company.
- Project, ticket, and action item progress should be tracked, monitored, and guided to make sure they stay on course and are finished in accordance with organizational developments and deadlines.
- Organize team-building exercises, onsite and offshore meetings, and virtual gatherings in a proactive manner, taking into account any necessary meeting logistics (food, technology, etc.).
- Help with the preparation of meeting materials, such as presentations and other meeting-related materials, and draft significant documents.
- Attend meetings with the department head and/or the SVP, making notes on action items and sharing important lessons with teams.
- Oversee all incoming correspondence to make sure that tasks are assigned to others as needed and that urgent matters are addressed. a prompt response to the executive’s attention
- Make sure that all of your interactions with coworkers inside the organization are efficient and consistent. You should also be able to handle situations with grace and tact under pressure and with respect.
- Investigate and gain knowledge about the Adtech sector on a range of subjects, such as market trends, current affairs, rivals, etc.
- As appropriate, work with MarComm to provide assistance for Mediavine-sponsored events that the SVP and their staff attend.
- Oversee the planning and scheduling of all travel, making sure the SVP is informed of any changes to the itinerary while traveling and ready to incorporate last-minute arrangements when they arrive.
- Look for ways to enhance productivity and procedures in the workplace.
- As required, assist the entire Support & Customer Success team with ad hoc relevant tasks.
- Travel requirements for our yearly All Hands Retreat, team retreats and meetings, and industry conferences and events (about 30%)
Requirements:
- A bachelor’s degree in business or a similar discipline is recommended.
- seven plus years of steadily increasing executive assistance experience
- 3+ years of experience working remotely to support executives in an executive role; strong familiarity with Google Suite and Slack in a work environment is necessary.
- Preferable: familiarity with productivity software like Notion
- Requires prior work experience with Mac machines and Apple software.
- Experience arranging and running online meetings using platforms like Zoom, Google Meet, and others; Experience offering concierge-level assistance for business travel and events, either in-person or remotely as necessary
- extensive background in creating presentations, updating reports, and writing and revising communications
- the capacity to learn new tools and applications fast; tech-savvy
- Excellent writing and verbal communication skills; you can give and take instructions via Slack or email in both one-on-one and big group settings, and you’re skilled at communicating quickly.
- Outstanding capacity to establish connections with important stakeholders, comprehending their requirements and methods of operation; adept at organizing people to complete tasks
- Capacity to absorb constructive criticism well; responsible and eager to improve and learn from errors
- Possess a strong sense of urgency, a can-do attitude, the ability to prioritize and complete a variety of tasks with little supervision, and the ability to work in a fast-paced environment. A team-oriented approach to work that allows for effective collaboration with staff members at all levels. Experience working with discretion and confidentiality when necessary
