As an Executive Assistant, you will play a crucial role in supporting high-level executives within our organization. Your responsibilities will encompass complex calendar management, coordinating internal and external meetings, handling domestic and international travel arrangements, including expense reporting, managing event logistics, planning office space, and collaborating with various departments. This role requires proactive engagement with Finance, HR, Recruiting, and other Executive Assistants across the Ads organization. You will attend key meetings, track deliverables, and contribute creative problem-solving approaches.
Responsibilities:
- Manage complex calendars and coordinate high-level internal and external meetings.
- Arrange detailed domestic and international travel itineraries and handle expense reporting.
- Organize large event logistics, both in-person and virtually, including catering, accommodations, and materials.
- Assist in planning team space and facilitating office moves.
- Collaborate closely with Finance, HR, Recruiting, and other Executive Assistants.
- Attend key meetings, track deliverables, and follow up on outstanding items.
- Apply creative problem-solving approaches to address internal and external challenges.
Requirements:
Basic Qualifications:
- 2+ years of experience in senior-level leadership support or 1+ years of Amazon experience.
- High school diploma or equivalent.
- Proficiency in Microsoft Office products and applications.
- Experience in executive-level calendar management.
Preferred Qualifications:
- Bachelor’s degree.
- Exceptional attention to detail and the ability to meet tight deadlines.
- Capability to complete complex tasks independently and respond promptly to urgent situations.
- Strong organizational, analytical, and interpersonal skills.
