An experienced Executive/Staff Assistant has a fantastic chance to join CNA’s team in New York City (125 Broad Street). Our Senior Vice President of Financial Lines and Healthcare will be supported by this position. It is expected that the employee will work from the office a minimum of two to three days per week in this hybrid position.
Interacting with others and resolving issues that could be sensitive or confidential; serving as a point of contact between management and other business units; creating presentations and reports using the MS Office Suite (primarily Excel and PowerPoint); managing the calendar; making travel arrangements; generating expense reports; and managing the general operations of the office (new hire setup, ordering/maintaining office supplies & equipment).
Other responsibilities will include providing on-site support for CNA executive visits, scheduling appointments and events, acting as a point of contact for senior executives visiting the office, and liaising with other executive administrators for the NYC office.
Our ideal applicant would be well-versed in both organization and communication. Microsoft Office proficiency in Outlook, Word, Excel, and PowerPoint is necessary. Experience in the financial services or insurance industries is preferred.
Responsibilities:
- Helps management in the coordination of organizational administration tasks, such as team meetings, cost center updates, customer communications, industry conferences, and performance reviews, among others.
- Acts independently and pro-actively to resolve difficulties and problems within the authority granted.
- Using office equipment and software, drafts, produces, and distributes correspondence, memoranda, reports, and other documents.
- Collaborates on business unit administration issues with contacts both inside and outside the company.
- Arranges travel, schedules meetings, coordinates conferences, and keeps track of the manager’s and group’s business calendars.
- Working quickly, creates, processes, and submits reports that may involve payroll/business operations, timekeeping, and other administrative tools and procedures; may also train employees or management in these areas.
- Researches assigned subjects and presents findings.
- May create and keep official records and papers in the proper files.
- May help with specific project management.
- Able to take notes at meetings, seminars, etc. and deliver information as required.
- May assist other administrative assistants and other functional areas with administrative tasks.
- May carry out extra tasks as needed.

Requirements:
Knowledge, abilities, and skills
- Good oral and written communication abilities, including proper telephone manners.
- Outstanding interpersonal skills with the capacity to work well with colleagues at all levels, including both internal and external business partners.
- Proficient with the Microsoft Office program suite and other business-related software programs.
- Strong organizational skills, including the capacity to prioritize, organize, and foresee business demands.
- General understanding of the business divisions and the insurance sector.
- Proven analytical abilities.
- The capacity to independently negotiate a matrix organization’s complexities.
Knowledge & Experience
- College with course work in Marketing, Business, Accounting, etc. is desirable.
- Typically a minimum of five to eight years strong administrative experience with insurance industry experience strongly preferred.
In some places, a CNA is legally compelled to offer an estimate of the salary for this position. In California, Colorado, Connecticut, New York and Washington, the normal basic pay range for this role is $37,800 to $131,450 yearly. Pay ranges are determined by a number of variables, including but not restricted to location, relevant work experience, talents, and certifications.
