You will work as an Executive Assistant to the Operations Senior Director and the Enterprise Operations Enablement, Readiness, and Performance Solutions team.

Responsibilities:

  • As assigned, perform diversified and confidential administrative duties for the SVP & BFO department heads and senior leadership direct reports, utilizing broad and comprehensive experience, skill, and knowledge of organization policies and practices:
  • Meeting Scheduling / Calendar: Schedule and organize internal and external meetings, including Webex and conference calls, and handle any external interaction logistics. Logistics planning that is proactive in a dynamic and demanding environment. Manage the calendar system for multiple time zones and look for ways to improve efficiencies. Use sound judgment to make last-minute calendaring decisions based on priority and business needs. Inform of last-minute scheduling changes and communicate via e-mail, phone, and/or text message as needed. Schedule meetings with business units to assist the extended team. Manage the attendee list for important finance meetings.
  • Managing Calls and Visitors: Calls and visitors should be screened. Answer routine and complex questions.
  • Make travel arrangements with the help of Cigna’s online travel booking tool.
  • Perform accurate and timely expense report submission, as well as review, reject, or approve policy-compliant expense reports submitted by team members.
  • Solicit and consolidate hot topics for staff meetings, then distribute the list ahead of time. Proactive follow-up to ensure that key deliverables are received on time. Manage guest attendee invitations. Schedule talent reviews, special team meetings, and interviews in collaboration with your HR business partner.
  • To assist in managing the flow of documents, the department head must sign as an officer of the company and/or its entities.
  • As needed, manage team-wide events such as team-building exercises and department meetings. Coordinate logistics, transportation, confirm badge access, order catering, and so on.
  • Manage distribution lists for important invitations and organizational announcements from the leadership team.
  • As needed, obtain help desk assistance to troubleshoot and resolve critical issues.
  • Use the portal supply system to order equipment and supplies.
  • Manage vendor payments for work statements.
  • On behalf of the department head, review access management.
  • Workday approvals are performed as delegated by the department head. In a team environment, backup support is provided to peer administrative and executive assistants.

Requirements:

  • A high school diploma or GED is required, and an advanced degree is preferred.
  • 3+ years of progressive responsibility as an administrative and executive assistant. Working experience with SLT/ELT assistants in a large dynamic organization.
  • Capability to represent the department professionally through excellent verbal and written communication skills.
  • It is critical to be able to work independently and keep confidential information.
  • Have a strong sense of urgency and the ability to work in a fast-paced environment while managing multiple tasks.
  • It is not necessary to be a notary, but it would be extremely beneficial.
  • Ability to remain calm and focused in stressful situations while demonstrating customer centricity
  • Ability to work well in a team setting
  • Highly skilled in Microsoft tools such as Word, Excel, PowerPoint, Outlook, and its calendar functions.
  • Flexibility in scheduling to be available before and after normal working hours, as well as willingness to check emails and text messages if a critical project requires it
  • Have technical knowledge of audio and voice equipment, as well as mobile and desktop devices.
  • If necessary, I am able and willing to travel up to 15% of the time.

This position is expected to be virtual, work from home, and have a primary schedule of Monday through Friday, normal business hours.

If you will be working from home on a regular or permanent basis, you must obtain an internet connection from a cable broadband or fiber optic internet service provider with at least 10Mbps download/5Mbps upload speeds.
We anticipate offering an hourly rate of 25 – 38 USD / hourly for this position, depending on relevant factors such as experience and geographic location.

This position is also expected to be eligible for an annual bonus plan.
