This job assists the UPS Healthcare digital communications team with daily project coordination, communications support across many platforms, and administration of internal and branded assets.

Responsibilities:

  • Assists project managers in developing and preserving project plans, reviews, and deliverable launch documents
  • Requests estimates, processing costing reports, production schedules, and editorial approvals for projects from management and subject matter experts.
  • Organizes vendor requests, legal reviews, and invoicing
  • Keeps team files organized, uploads assets to appropriate platforms with the necessary information, and directs stakeholders to the proper file locations based on their needs.
  • Maintains a current record of the communications team’s content, including with the publish date, themes, and other details.
  • Makes certain that branded materials are current and accessible to essential parties via the main brand website.
  • As necessary, adds fresh materials to the primary Brand website.
  • To preserve historical information, obtain and archive records (such as job application paperwork, work orders, vendor selection forms, estimates, invoices, etc.).
  • Organizes and manages internal mailing lists, using PoliteMail to deliver departmental emails and creating a monthly newsletter.
  • Acts as the chief administrator for the company’s email system (e.g., maintain user database, report on engagement, monitor feedback, etc.)
  • Supports the creation of marketing materials, such as social media postings, app content, booth designs, onsite brochures, etc., for industry events.

Requirements:

  • Possesses good verbal and written communication abilities, attention to detail, and the capacity to manage many priorities in day-to-day tasks.
  • Demonstrates understanding of email communications and digital marketing
  • Knowledgeable about the Microsoft Office Suite (Access, Excel, PowerPoint, and Word)
  • Project management, asset management, and business writing expertise
  • Bachelor’s degree (or an equivalent degree worldwide) in communications, public relations, marketing, or a related subject Work experience with the healthcare sector Corporate brand governance experience
