By offering editorial and administrative help on projects to maximize growth within our current journal portfolio and in new business prospects, you will support the work of the Medical Journals team. The Senior Publisher will be your supervisor.

Responsibilities:

  • Support the director, group publisher, senior publishers, and publishers with editorial and administrative tasks. Assist in the day-to-day administration of the editorial offices and journals list, and serve as the point of contact for the medical journals department.
  • Obtain training and mastery in the administrative tool utilized by the journals’ website platforms. Take charge of basic upkeep and essential modifications to the journals’ websites. Gather, aggregate, and arrange relevant usage data for Ovid and journal website platforms.
  • As instructed by the medical journals team, update and manage the journals’ social media feeds on Facebook, Twitter, and other platforms. Gather, aggregate, and arrange relevant usage data for social media initiatives.
  • Order letterhead, cards, and supplies as needed for the editorial offices and medical journals team. Code bills. Prepare check requests and get payment authorization. Send promotional copies to editors and societies. Journal systems should be updated once a month with reports on financial status, circulation, invoicing, and sales.
  • Serve as the medical journals team’s point of contact for the society, the editor of trafficking, and vendor payments with Accounts Payable (AP).
  • Help with basic graphic design, copyediting, and formatting for proposals and presentations that are presented to customers.
  • In order to meet deadlines, collaborate with publishers to acquire data from marketing, sales, advertising, continuing education, and other departments and assemble and generate publishers reports and impact factor reports for journals as needed.
  • Plan the travel arrangements, such as sending out and monitoring meeting invitations, reserving a hotel, paying for it, and arranging for food for off-site editorial board and strategic meetings.
  • Organize the AV and catering needs for internal meetings, and make notes.
  • Respond to correspondence (phone and email) from outside editors, advertisers, and other parties; route calls to the relevant departments; maintain a centralized database with editor and society contact details; oversee the upkeep and maintenance of journal contracts and specifications; etc. Know how to use the database to create reports with ease.
  • Make and keep timetables for annual, monthly, or quarterly tasks and ensure that they are completed on time (e.g., research projects, gifts, annual conferences, editorial board meetings, publisher reports, etc.).
  • Check every online journal reference on a regular basis from the LWW online store, eJP, Ovid, third-party, and other WK sites; fix any issues or notify the publishers and marketers as needed.

Requirements:

Education: Bachelor’s degree or comparable work experience in the field

Experience Requirement:

  • One year or more of previous experience working as a coordinator or assistant in marketing, editing, or administration, or in a similar role. We’ll Take into account work assessments and internships.
  • Proficiency with Microsoft Office, especially Teams (or meeting software), Word, Excel, PowerPoint, and Outlook.

  • Prior experience using Twitter and Facebook with an emphasis on increasing usage
  • Prior familiarity with third-party analytics tools and software, such as Google Analytics or Adobe Analytics, as well as HTML coding and/or website administration is preferred.
