Position Description:
This role is accountable for, but not limited to, the following duties:
- Assists unit management with the coordination and administration of programs, projects, and/or processes, as well as the preparation and control of records, statistics, reports, and documents
- Processes all financial transactions for RBS IDEA Office programs
- Maintains financial records and generates detailed financial reports for a wide range of institutional, endowment, grant, and scholarship budgets Creates original, high-quality materials and publicity for internal and external audiences, such as annual reports, financial statements, bulletin boards, posters, brochures, and mailings
- Helps office staff with publicity design, publication, and distribution on campus, as well as through social media and email
- Assists with administration of the office’s social media and technology platforms by giving frequent updates on events, programs, and other resources
- Helps with the operation of the office website and, as needed, changes electronic program application materials and webpages to ensure the most up-to-date information is delivered.
- Serves as the initial department contact (in person, on the phone, and via email) for a variety of students, prospective students, parents, alumni, faculty, staff, and visitors from the community
- Screens visitors to assess needs and then provides information about resources or, if necessary, referral to appropriate staff Assures that all business is handled discreetly
- Coordinates the setup and breakdown of all unit events on campus, including aspects such as signage, catering, seating, technology management, registration management, room reservations, tabling at events, and greeting visitors
- Processes various administrative documents and data
- Updates databases/spreadsheets, responds to routine phone and email information requests, maintains listservs and archive lists, and Makes routine informational materials
- Handles in-person and virtual meetings, assists with department website maintenance, office purchases, and account reconciliation Does professional work that necessitates understanding of general administrative/office management techniques, as well as the basic application and usage of unit administration principles, theories, and terminology
- Travels to off-campus events in the New York/New Jersey metro area and between campuses
- Works occasional evening and weekend hours
- Manages various duties as assigned throughout the year, exhibiting the ability to integrate new information and use it to effect good change Completes various tasks in accordance with a thorough understanding of the RBS IDEA Office’s mission, vision, and goals.
