A Seattle-based law firm with national renown is looking for a legal assistant to assist several lawyers in their commercial litigation division. The company now provides its personnel with one day of WFH per week and has a lovely office location in Downtown Seattle. The Firm Administrator is the boss of this non-exempt position.

Responsibilities:

  • Provides clients of the firm with great work and service;
  • Assist attorneys in meeting needs for client service support, such as answering phones, carrying out administrative activities as required and customary for the task, producing documents, and other related work.
  • Communicates with attorneys and helps the team balance its workload to ensure that projects are finished on schedule and to the required standards of quality;
  • Create internal documents, such as expenditure vouchers, messenger vouchers, and other forms needed by other support departments.
  • Sets up various meetings and events. Work with the travel department to plan business visits, and use the conference room scheduler to set up meetings;
  • Creates and processes legal papers and documents, such as subpoenas, complaints, motions, and other pre-trial paperwork.
  • Aid in the beginning and ending of client matters.
  • Help with billing and editing; input attorney time into timekeeping system.
  • Fill out the expense system with all of your expenses, then ask for checks from each vendor.

Requirements:

  • Experience at a law firm of at least 5 years is necessary.
  • Advanced proficiency with Outlook, Adobe Acrobat, and Judicial Council Forms. Proficient in Excel and PowerPoint. Advanced proficiency with Word (using styles, track changes, and document comparison applications). demonstrated talent at learning new software programs.
  • It is necessary to be familiar with both the federal and state court systems, including federal e-filing and state court online filing.
  • It takes interpersonal communication abilities to keep up productive working connections with partners, lawyers, clients, and staff over the phone, email, and in person.
  • Be able to implement high priority projects, work alone and in a team atmosphere, and be detail-oriented.
